We live in a world of business mumbo-jumbo. Branding, insurance, contracts, scaling, systems, processes. All the boring crap you don’t really care about is what excites us!
If a customer isn’t paying via Direct Billing, practitioners typically accept payments using their own Square terminal or through JaneApp. Transaction fees are comparable, and both provide a mobile terminal.
Both Square and directly through JaneApp provide the opportunity to save the customer’s credit card on file so that practitioners can automatically bill for no-shows.
The main thing to remember is that the per-transaction rate increases when a card on file is used for payment.
So, for example:
We suggest that you only charge the card on file when an actual no-show occurs. Regular visits should be regular transactions (tap, insert & code, etc). This helps ensure that the lower transaction rate is utilized for that regular visit.
In addition, it is a requirement for customers to authorize the card to be held on file and charged. This is a physical document that needs to be printed and filled out. Download the authorization form HERE or HERE.
You will need to enable ‘save customer profiles’ and you will need to physically enter their credit card info in the first time (setup instructions HERE).
Practitioners set up their own contracts with direct billing providers. New clients often book with a practitioner based on whether or not that practitioner accepts direct billing from the client’s insurance company.
Our directory allows potential clients to filter practitioners based on direct billing support.
Because of this, it is important that you update your profile whenever there are changes to your direct-billing situation.
Direct billing via Telus eClaims is possible on a per-practitioner basis – meaning that every practitioner can add their own Telus eClaims account information into our clinic Jane and bill directly to patients. Integration instructions for ‘solo/independent provider’ can be found here.
Unfortunately, Blue Cross does not offer the same integration. Direct billing via Blue Cross must be done through the PROVIDERnet portal.

Because there is no on-site receptionist, our phone system is a group effort for the common good.
This helps save costs and keep rental rates lower.
Our phone system is managed through Zoom VOIP & each location has its own local phone number.

Patients call, and the phone gets answered by an auto-receptionist. Patients are presented with several options. The first option is to leave a voicemail. The second option is to connect with a practitioner directly using either an extension number or the dial-by-name directory.
On the physical phone:
Press the envelope button, enter the PIN and then #.
On the Zoom app:
Open the app on the desktop computer. Login if necessary. Select the ‘Phone’ option from the top menu. Select ‘Voicemail’ from the menu on the left.
Via a web browser:
Open a tab -> enter URL https://zoom.us/signin -> enter username and password. Selet the ‘Phone’ option from the side menu. Select ‘Voicemail’

Keeping your individual room tidy & clean is your responsibility. Garbages in common areas need to be taken out at least once a week. Please organize with the rest of the crew.
Healing Oak provides cleaning of shared spaces. A commercial cleaner comes into each location once every week to make sure that shared spaces are spotless.
A Roomba robot vacuum automatically runs through the common areas every Monday, Wednesday, and Friday at 11:00 pm. Please ensure your room door is closed those nights as the unit will get stuck on cords, etc., if it makes its way into your room.
In the time between scheduled commercial cleaning, it is the responsibility of each individual practitioner to take responsibility for the cleanliness of the space.
If something needs to be done – please do it. Take a minute and do a basic sweep, a quick mop, an emptying of garbages, cleaning of the mirrors, dusting of ledges, etc., to keep the space immaculate.
Simply put, please do your part to the benefit of everyone.
Clients see dirty… and they make subconscious decisions based on what they see. They submit reviews based on those decisions. It is, collectively, our responsibility to keep our space as clean as possible.
Practitioner parking in downtown Abbotsford is a bit of a situation. We have 6 dedicated stalls in the underground parking as well as 3 dedicated stalls at the Impark parking lot 2 blocks away at 33835 George Ferguson way.
To park at the Impark lot, we will need to add your vehicle to our Impark account. Enter your vehicle information here.
Practitioner & patient parking is available in the parking lot attached to the building (either 1st or 2nd-floor parking works), or in any of the stalls along Gaetz.
Each room is equipped with a Sonos speaker and is connected to the Healing Oak shared Spotify account.
You will need to download the Sonos App for your phone.
Sonos is not a Bluetooth system – you will need to be connected to the clinic WiFi to stream to the speaker in your room.

Chilliwack has contracted a security company to be on call should we ever need them. The Abbotsford Downtown BIA provides this service for all downtown merchants.
If there is ever an issue with homeless folk blocking the entrance or making you feel uncomfortable, or if you ever want to be walked to your car early in the morning or the evening – just call, and someone from the security company will come to help.
